Establish the controlling document record

Keep executed leases, schedules, exhibits, addenda, assignments, guarantees, side letters, notices, waivers and later agreements in a versioned register. Preserve original files, hashes, page counts, languages, execution evidence and effective dates. Missing pages, unsigned copies, unreadable scans and conflicting clauses need explicit review.

Landlord, tenant, occupant, guarantor, manager, broker, counsel and signatory roles require evidence of their authority. A filename, extracted clause or contact record cannot settle authenticity, governing law or signature rights. Link each clause candidate to the exact document version and page; qualified owners decide which text controls.

Validate dates before they control action

Commencement, possession, rent commencement, options, break rights, reviews, indexation, notice windows, holdover and expiry are separate milestones. Preserve source wording, triggers, calendars, business-day adjustments and uncertainty. Approved deterministic calculations must handle leap years, month ends, local time changes and ambiguous inclusive counting.

A reminder is not legal notice. Required sender, recipient, address, delivery method, attachments, signature and service evidence come from the governing instruction and qualified owner. Sent, delivered, received, acknowledged, accepted and legally effective remain different states.

Keep scenarios and negotiation conditional

Show rent, currency, frequency, tax, index, caps, floors, concessions, deposits, guarantees, works and break assumptions in each proposed renewal. A complaint is not proof of breach, disputed arrears are not settled debt and a market listing is not automatically a comparable valuation. Preserve financial and operational source records separately.

Negotiation positions, counterproposals, approved offers, acceptance, signature and effective amendments have distinct authority and confidentiality needs. Qualified owners decide privileged or without-prejudice handling where applicable. Recheck current parties, documents and approvals before consequential action; partial signatures or positive language cannot establish execution.

Carry the record beyond signature

Protect household, rent, dispute and access information. Renewal service, terms and escalation must not vary through protected traits or proxies; route accommodation, hardship, safety and payment disputes to qualified people. Use approved contact, accessibility, language and retention rules.

Compare the agreement with later rent schedules, payments, possession, repairs, move-out, vacancy and re-letting evidence. A system update does not prove performance of an obligation. Retention, revenue, cost and satisfaction claims require suitable outcome evidence and attribution.
