Project guide / Real estate

Help the request move forward without deciding who deserves access.

Real-estate teams repeatedly prepare replies, coordinate viewings, check listing facts, locate lease clauses and route service requests. AI can assist with that work, but a useful trial must preserve the person's stated request, the property's actual records and the responsible professional's decision. Measure whether people receive accurate, accessible service after review and correction.

Start with the person's request

Prepare the next step without inventing eligibility.

Choose a task where the original request, property or lease record, proposed response and receiving owner can be inspected together. Keep unanswered questions visible. Do not let inferred personal characteristics or an unexplained score determine which opportunities, appointments or services someone receives.

An enquiry is not a profile
Use the person's stated preferences and authorized contact context. A name, accent, writing style or inferred household type is not a sound basis for deciding whether to help.
A listing field is not proof
Standard names make data easier to exchange, but do not establish that a property feature, price or availability is correct. Keep its source and freshness visible.
A draft is not a decision
A reply, clause summary or service classification has not authorized an offer, interpreted a legal obligation or resolved a resident's problem.

Five project candidates

Choose a task with a reviewable output and an owned next step.

These designs focus on preparation and coordination. Establish applicable housing, privacy, communications and professional requirements before using real records.

Prepare an enquiry handoff

01

Useful next step: Help the right staff member understand what the person asked for.

Starting situation
Requests arrive through different channels and staff repeat questions or lose follow-up ownership.
Required records
Original enquiry, declared preferences, exact property interest, current listing information and permitted contact channels.
Assisted preparation
Summarize the request, suggest relevant factual answers and identify unresolved questions. Route by an approved service rule rather than predicted desirability.
Retained decision
Staff confirm the response and accept the handoff. Qualification, housing eligibility and access decisions are outside the assistant's role.
Review artifact
Original request, attributed summary, contact permission, unresolved questions and named receiving owner.
Failure to test
A changed name or writing style changes service priority, a suppression request is missed, or an unavailable property is presented as open.
Trial measure
Compare missed requests, unsupported answers, contact errors, accepted handoffs and service consistency across equivalent enquiries.

Coordinate a viewing request

02

Useful next step: Prepare a suitable appointment option and confirm the actual booking state.

Starting situation
Staff reconcile calendars, property access and attendee preferences manually.
Required records
Exact property, authorized viewing slots, staff calendar, access arrangements, attendee request and communication preferences.
Assisted preparation
Suggest available options and draft confirmation details. Keep proposed, held, confirmed, rescheduled and cancelled states distinct.
Retained decision
The authorized scheduler confirms the booking and access. Accommodation requests go to the responsible person without model judgment of their validity.
Review artifact
Slot source, attendee confirmation, booking receipt, changes and an accessible staff-assisted alternative.
Failure to test
A stale slot creates a double booking, cancellation does not propagate, or a person using an alternative communication route receives fewer options.
Trial measure
Measure booking conflicts, failed confirmations, repeated coordination, accessible completion and unresolved rescheduling.

Prepare property content from verified facts

03

Useful next step: Produce a draft that accurately describes the specific property or unit.

Starting situation
Approved records exist, but teams repeatedly turn them into listing copy and channel updates.
Required records
Property and unit identity, verified attributes, current price and status, approved disclosures, media rights and channel requirements.
Assisted preparation
Draft factual wording and highlight additions or conflicts against the source. Keep missing features as questions instead of completing a plausible description.
Retained decision
The responsible property professional checks material facts and approves publication. The assistant does not establish valuation, title, suitability or legal use.
Review artifact
Before-and-after copy, attribute sources, unresolved conflicts, approved media and exact publication version.
Failure to test
A building feature is attributed to every unit, an old price persists, or generated wording implies a preference for a particular type of resident.
Trial measure
Compare factual edits, stale-listing incidents, publication corrections, complaints and total review effort.

Assemble a lease review packet

04

Useful next step: Help staff locate relevant clauses and questions before a renewal or service discussion.

Starting situation
Executed leases and amendments are scattered, and staff repeatedly search for the same passages.
Required records
Exact premises and parties, executed documents, amendments, relevant request and document-access permissions.
Assisted preparation
Locate candidate passages, prepare a source-linked summary and flag missing or conflicting documents. Preserve the original text beside each candidate.
Retained decision
Qualified staff or legal advisers determine controlling terms, deadlines and required notices. Negotiation, renewal and changes require separate authority.
Review artifact
Document manifest, cited passages, candidate milestones marked unvalidated and outstanding questions.
Failure to test
An amendment is missed, a calendar date is treated as a legal deadline, or an explanatory draft is sent as a formal notice.
Trial measure
Measure missed clauses, unsupported interpretations, reviewer correction, document gaps and effort through validated preparation.

Prepare a resident service case

05

Useful next step: Give the service owner the information needed to act on a reported problem.

Starting situation
Requests, photos and follow-up messages arrive separately and staff reconstruct the history.
Required records
Original report, property and unit, permitted resident contact, prior case evidence, service rules and approved urgent-reporting path.
Assisted preparation
Suggest a category and concise case summary, preserving the reporter's words and uncertainty. Flag unresolved details for staff and keep every request owned.
Retained decision
Responsible staff assess urgency, authorize access and work, handle accommodation issues and verify resolution. The assistant cannot diagnose safety or close a case from a contractor message alone.
Review artifact
Original report, attachments, classification candidate, accepted assignment, work evidence and resident follow-up.
Failure to test
A safety concern is softened in the summary, limited language fluency lowers priority, or an attempted visit is recorded as a completed repair.
Trial measure
Compare missed urgent reports, unaccepted assignments, reopened cases, resident effort and time through evidenced resolution.

Preparation and decisions

Keep the authority boundary visible in the workflow.

Fair-access safeguards must apply to the ordinary service path, including routing, waiting and correction. A reviewer at the end cannot repair an opportunity that was never shown.

Run a bounded trial

Test who receives service as well as what gets written.

Use synthetic or properly authorized cases first. Define the intended assistance and the decisions it must not make.

  1. 01

    Choose one request type

Name the audience, property context, staff owner, source records and allowed output. Keep a staffed alternative available.

  2. 02

    Establish source and access rules

Confirm record rights, identity boundaries, contact permissions, retention and the applicable professional requirements. Separate verified facts from customer statements and model suggestions.

  3. 03

    Test equivalent requests

Vary irrelevant names, writing styles and communication routes while keeping the underlying request the same. Investigate unexplained differences in options, routing, waiting or escalation.

  4. 04

    Exercise correction and handoff

Test stale availability, withdrawn contact permission, missing amendments, cancelled appointments and urgent service reports. Verify that corrections reach the right records and owner.

  5. 05

    Measure the completed service path

Compare accuracy, accepted work, staff and customer effort, complaints and reopened cases. Do not treat replies or bookings alone as evidence of better housing or commercial outcomes.

Safeguards across the five projects

Keep ordinary service accessible and decisions accountable.

These are proposed engineering safeguards. Current local requirements and the actual operating process need qualified assessment.

Use relevant, declared context
Minimize personal data and prohibit inferred protected characteristics or proxies from controlling opportunity or service. Record why any routing criterion is needed.
Preserve a usable alternative
Support staff-assisted enquiries, appointments and corrections. Test that people using different communication methods can reach the same relevant information and next steps.
Make evidence inspectable
Show original requests, exact property or lease identity, source versions and unresolved conflicts. Keep generated text separate from verified records.
Review the whole decision path
Check what was shown, omitted, delayed, sent and accepted. Give responsible staff a way to correct records and review complaints without relying on a model's explanation of its own behavior.

Questions before using real records

Resolve what the project is allowed to decide.

A bounded assistance task still needs appropriate privacy, professional and fair-treatment review.

Should AI score property leads?
Start by helping staff understand and respond to stated requests. A score that changes access or service can introduce consequential judgments and hidden proxies. Any such decision system needs its own qualified assessment and evidence; it is not part of these preparation trials.
Can AI write a listing description?
It can prepare a draft from verified attributes. Check every material statement, exact unit, current status and required disclosure before publishing. NAR advises accuracy review of generated content; a polished draft does not establish that its facts are true.
Can a lease summary determine a renewal deadline?
No. Use it to locate candidate passages and missing documents. The controlling lease, amendments, triggering events and applicable requirements need qualified interpretation and validated calculation before a date drives a notice or decision.
Do these safeguards establish fair-housing compliance?
No. They are technical design proposals. HUD's current US overview describes statutory protections, while local rules and professional duties vary. Qualified owners must assess the actual use, criteria and process; an AI label or approval button does not settle compliance.
What would make the trial unsuccessful?
More factual corrections, inconsistent service for equivalent requests, inaccessible alternatives, missed urgent reports or unowned handoffs can outweigh faster preparation. Include those failures and the effort to recover in the comparison.
